Every roofer has a story about the 12/12. The one where the crew spent an extra day in harnesses, the staging costs doubled, production crawled — and the estimate, written like it was a walkable 4/12, paid for none of it.
Steep-slope work is where estimating discipline gets tested, because steep roofs cost more in nearly every direction: labor productivity drops, safety requirements rise, and a whole family of charges applies that simply doesn't exist on walkable pitches. Miss them and you don't just lose margin — you fund the difference out of pocket, in harness time.
The fix isn't remembering harder. It's building the steep-slope knowledge into Xactimate templates and macros once, so every future estimate carries it by default. Here's how to set that up, step by step.
Why Steep-Slope Deserves Its Own Macros
A generic roofing macro treats every roof like the average roof. Steep-slope work breaks that assumption in specific, expensive ways:
- Labor multipliers apply. Xactimate carries additional charges for steep pitches (with brackets as slopes climb) and for high roofs of two stories or more. On a big steep roof these lines are serious money — and they're among the most forgotten items in the industry.
- Waste runs higher. Steep roofs are usually cut-up roofs — hips, valleys, dormers, short runs — where legitimate waste climbs well past the 8–10% carriers like to default to.
- The scope itself changes. More valley lining, more flashing details, more staging and safety-adjacent labor considerations than a simple walkable gable.
If your estimates start from a macro that assumes walkable, every steep roof begins with money already missing. The answer is a macro built steep — where the charges exist by default and get deleted only when they genuinely don't apply. Deleting a line takes one keystroke. Remembering to add one at 9 PM takes a miracle.
Step 1: Build (or Buy) Your Steep-Slope Base Macro
Your base macro is the complete tear-off-and-replace scope for your most common steep-slope job — typically laminated shingles on 7/12 or steeper. At minimum it should contain:
- Tear-off, haul and dispose (with the additional-layer line ready if needed)
- Shingles — laminated, with your waste factor logic decided (see Step 3)
- Underlayment scope — and be deliberate about the felt suffix: pick the without-felt shingle variant plus explicit underlayment lines if you install synthetic
- Ice & water shield (valleys and eaves)
- Starter course, drip edge, ridge cap — the invisible items that vanish from memory-built scopes
- Step, headwall, and chimney flashing; valley metal
- Pipe jacks and vents
- Steep charge and high charge — in the macro by default
- Sheathing replacement line, ready for what tear-off reveals
Save it with Ctrl + Shift + M and name it for retrieval at speed: "STEEP — Laminate Tear-Off" beats "Roof Macro 3" every time you're under deadline.
If building this from scratch sounds like months of refinement — it is. Each early gap in a homemade macro is a gap in a real estimate you already sent. That's the case for starting from pre-built residential roofing macros with the complete steep-slope scope already assembled, then tuning to your market instead of assembling from zero. Build the library or buy the starting point; just don't estimate steep roofs from memory.
Step 2: Layer Add-On Macros Instead of One Monster
The rookie move is one giant macro containing everything you've ever billed. Then every estimate starts with a deletion marathon — and deletion marathons are where wanted lines die by accident.
The professional structure is base + add-ons: a lean base macro for the core roof, plus small stackable macros for recurring features:
- Chimney package — flashing, counter-flashing, cricket if applicable
- Dormer package — the flashing and detail work each dormer adds
- Skylight package — flashing kit and reset/replace logic
- Low-slope section package — for the porch or addition that isn't steep
Sketch the roof, insert the base, then stack one add-on per feature you counted in your photos. Two dormers and a chimney? Base + dormer + dormer + chimney. The estimate assembles itself in the same order you inspected the roof — which also makes your documentation map cleanly to your line items.
Step 3: Encode Your Waste Logic
Waste on steep, cut-up roofs is where judgment matters most — so give your future self a rule instead of a vibe. A workable framework:
- Simple steep gable: standard waste
- Hips and valleys present: bump the factor
- Cut-up with dormers, multiple facets, short runs: bump again, and document why
Write the rule into the macro's line item notes (F9) as a prompt — "Verify waste vs. facet count from aerial report" — so the macro doesn't just insert items, it coaches the adjustment. Your aerial measurement report gives you facet counts and lengths precisely so waste can be justified with geometry instead of argued with adjectives.
Step 4: Make Pitch Data Non-Negotiable Upstream
A steep-slope macro is only as good as the pitch feeding it. Two habits upstream of the macro:
- Measure pitch on-site or from the aerial report — never eyeball from the ground. Pitch drives surface area, steep charges, and waste simultaneously; one wrong number re-prices the whole roof.
- Set pitch correctly in your sketch before inserting line items, so macro quantities calculate from real geometry.
When pitch is right in the sketch and the steep charges live in the macro, the two systems check each other: a 9/12 sketch with no steep charge, or a steep charge on a 4/12, jumps out during review instead of surfacing in a carrier dispute.
Step 5: Standardize the Library Across Your Team
If anyone besides you writes estimates, the macro library is where your best estimator's judgment becomes company standard:
- One shared naming convention — prefix by category ("STEEP —", "ADD —") so the macro window reads like a menu
- One owner — a single person maintains the library; everyone else uses it. Forked personal copies drift, and drift is how the drip edge disappears from Rep #3's estimates
- A revision habit — when a claim teaches a lesson, the lesson goes into the macro that day. The library should be smarter every month, permanently

The 30-Second Steep-Slope Review
With the system in place, every steep estimate ends with the same scan: steep and high charges present and bracketed to the actual pitch, waste justified against facet count, add-on macros matching the feature count in your photos, sheathing line ready, totals passing the smell test (Ctrl + T). Thirty seconds, because the macro did the remembering.
That's the whole philosophy: steep roofs are hard enough on the crew — the estimate shouldn't be hard too. Build the knowledge into templates and macros once, keep the reference on your desk while the workflow becomes reflex, and let every 12/12 from now on arrive priced like the job it actually is. Your harness time should be in the estimate — not donated to the carrier.
